COMMUNICATIONS POLICY

Your Club should have a Communication Policy and be equipped to communicate with members on a regular basis.

There are a number of basic tools available for free – or at a minor cost for most clubs – that will allow you to efficiently contact your members.

It is a good idea to provide your Members with a Communications Waiver to ensure they are comfortable and agree to holding their details on the club’s database and with being contacted. This also covers off communication with minors.

Your club should have a database of its Members. Email and/or text message is the best way to communicate with your Members.

Here is a basic Excel spreadsheet for you to build a Membership database.

Social Media and general media are other great ways to reach out to Members and non-Members.

Some basic tips and resources to communicate efficiently to your Membership includes:

Group text message to Members: Burst SMS www.burstsms.com.au is a cheap and easy way communicate via SMS at the click of a mouse – you simply upload your Membership Database and it will prepare it for you.

Group email to Members:  Mailchimp www.mailchimp.com or Campaign Monitor www.campaignmonitor.com are easy ways to upload and maintain your membership database and communicate at a minimal cost with a professional looking email.

Graphic Design: Sign up to www.canva.com – you can upload images and create any sort of design – typically a graphic with your logo will look professional for Instagram and Facebook – you don’t have to be a graphic designer to turn something cool around – you can even create professional posters to promote your events in the local community.

Membership Survey: Design your annual Member’s Survey at www.surveymonkey.com

Collect Data: Build a form with simple questions from the Club’s GMail (www.gmail.com) account – go to Forms and start building – you can embed on your club’s website – and this will help you automatically build a contact database of potential Members.
